When working with Revit schedules, the default behaviour is to show all items in the list according to category. Whilst filters can be applied to the scheduled parameters and can toggle between itemised instance and summarised list formats, it was not previously possible to just have the schedule display what is shown on the sheet i.e. what is determined by section depth or view range.

In Revit 2023, this is now possible with the new Filter by sheet option, so that the schedule only displays what is visible in the view. This is very useful for anyone working on steel or concrete framing details. To enable filter by sheet, tick the option, filter by sheet and the schedule display on the sheet will adjust the quantities displayed for just the visible items.

Limitations

The filter by sheet option for schedules is a welcome addition to Revit’s toolset, however there are some limitations to bear in mind.

Filter Schedules by sheet is not supported for Electrical Panel or Revision Schedules. Also, schedules filtered by sheet cannot be split across sheets. Furthermore, elements that are partially clipped by a crop region, are omitted from the schedule. This behaviour is like tags and other annotations when they overlap the crop region boundary. Unfortunately, the annotation crop boundary does not resolve this situation unlike tags, but hopefully this issue will be resolved in a future release or update.
